FINANCE REMINDERS

As a reminder, reimbursements will not be available for the rest of the academic year (as noted via the training module, they were simply a mechanism for use during the first month of the school year). As for the remainder of the academic year, you will be required to select a purchase type that corresponds with what you wish to purchase (as found on the Categories Spreadsheet), and the purchasing will be completed by our staff here at the Finance Service Center. 

Please note, this system was not designed for extremely quick turnarounds, each type of purchase requires a lead time (a buffer period before the event where our Finance Technicians can make the purchase), which can be found on the Lead Time Required column of the Categories Spreadsheet. So, for example, if you wished for decoration items to be purchased via Amazon, we need a Miscellaneous request submitted in RAMorgs a minimum of 21 business days prior to the event.

NEW FINANCE PLATFORM- RAMORGS

We have a new finance platform, RAMorgs, which will be the home to all finance-related activities for your student organization. If your student organization has been delegated funding for the 2023-2024 academic year, and your organization’s President and Treasurer have not yet received an invite to the 2023-2024 Student Organization Finance Training, please reach out to ramorgs@vcu.edu. 

Once the training module has been completed, you will receive an email shortly thereafter with instructions for navigating to RAMorgs.

TRADEMARKS AND LICENSING VENDOR FAIR

The VCU Office of Trademarks and Licensing will host a vendor fair in Cabell Library, Room 303. Students, faculty and staff are invited to meet with licensed vendors who can help produce VCU-branded products for departmental use, student groups, giveaways, promotions and more. Refreshments will be provided while supplies last. For more information, contact Eric Hart at hartet@vcu.edu .

BYSTANDER INTERVENTION TRAINING


The Office of Student Advocacy and Safe Bars RVA  are offering an interactive education program to student organizations that will help members recognize and respond to sexual harassment, aggression, and assault in places where alcohol is served. The program will use interactive techniques to empower students to intervene in any situation where they witness inappropriate sexual conduct. We are offering our services to any VCU organization that serves alcohol at their events, so that we may all work together to make VCU a safer place for everyone. Student organizations should reach out to Tameika McCoy at tmccoy5@vcu.edu to schedule a training for their organization.

EVENT WITH ALCOHOL REPORTING FORM

All student organizations hosting events where alcohol will be served must complete this Notification of an Event with Alcohol Form in RamsConnect at least fourteen (14) days in advance of any alcohol event. More information about the student organization alcohol policy can be found both on the notification form and in the Student Organization Handbook.

TRAVEL REPORTING FORM

 
All student organizations are encouraged to share their travel details with the student org office through the Travel Reporting Form. 

Submitting this form is required for any student organization receiving university funding (partial or full funding) for organization travel. Registered Student Organizations receiving any university funding for travel must complete this form 30 days prior to travel to ensure compliance with state and federal guidelines.

HAZING REPORTING FORM

The purpose of this form is to gather information about potential hazing activity in our community. This information will be shared with the proper campus offices for appropriate action. So that we may fully investigate your report, please give as much information as you can. You can choose to provide your name and contact information or to remain anonymous.

If there is an immediate and significant risk to health or safety, contact VCU Police at (804) 828-1234 or dial 911.

EVENT SERVICES REMINDERS

Reservation Reminders:
- VCU Student Organizations and VCU Departments are limited to 3 meetings/events PER week in the Commons/Larrick/Hunton Student Centers. (Events in Academic buildings and other spaces on campus don't count into this total)

Deadlines:
- Standard rooms require 3 business days to book
- Complex Events require 15 days to book 
- Major Events require 45 days to book and confirm. Major events also require a meeting with your event coordinator. To learn what is considered a 'Major Event' click here.
